Tamesis Club is seeking to appoint a House Manager who is able to provide services in a self-employed capacity to oversee and co-ordinate an interesting portfolio of tasks. Tamesis Club is a dinghy sailing club situated on a beautiful, private, riverside stretch of the Thames at Teddington, with a large and friendly membership of all ages. We have an excellent chef, and we require someone to assist with all the administration, liaison and communication that goes with running a successful club kitchen and social events throughout the year. The 20 hours a week can be worked flexibly, but core attendance will be Wednesday mornings, some Thursday evenings, some Saturdays, and every Sunday because that is when the majority of club activities take place.

SERVICE SPECIFICATION FOR TAMESIS HOUSE MANAGER

Overview

This role would suit someone who is able to provide the services in a self-employed capacity.

The contract will be for 20 hours per week, to be worked flexibly, but must include core attendance at the club on Wednesday mornings (2 hours from 11.00am 1.00pm) and Sunday mornings (5 hours from 10.00am 3.00pm), with attendance on Thursday evenings and Saturdays as required by the calendar.

No cooking is involved (the role will be complementary to chef's role), but a key task will be to provide a service to manage the staff who help prepare food, and to serve and assist at club events. Most of these are under 18 years of age.

Remuneration

The starting value of the contract is £18 per hour for 20 hours per week, for 46 weeks per year amounting to £16,560 per annum.

Key tasks

Liaise and work regularly with Club representatives, which may be expected to include:

  • The Rear Commodore House (this position is currently vacant so alternatively with an appointed representative of the Club's management)
  • The club chef
  • The club member responsible for private events
  • The class captains responsible for sailing open events
  • The club member responsible for arranging club social events
  • The club member responsible for bar purchasing
  • The club member responsible for facility management
  • The club member responsible for the annual calendar of fixtures and events
  • The Wednesday Working Party (club volunteers who maintain the club, site, and boats)

Manage and be proactive about:

Catering staff

  • The recruitment of catering staff (many are juniors, some 18+)
  • Ensuring staff Food and Hygiene courses are completed, certified, and kept in date
  • Ensuring DBS checks are done for those over 18
  • Creating staff rosters particularly for Thursdays and Sundays and managing staff cover/illness/cancellations
  • Training staff whilst on duty to ensure they are kept safe and busy, and that kitchen closing protocols are maintained
  • Ensuring staff use PayPal POS correctly (the club's payment mechanism)
  • Receiving invoices from catering staff, checking the hours claimed, maintaining a record of all staff hours worked and expenses incurred (by principal category) by staff on other items, and sending invoices fortnightly to the club Treasurer for payment
  • Ensuring in person, or arranging a suitable key holder, that staff can gain access to the club for their duties
  • Ensuring in person, or arranging for, the club to be correctly closed at the end of activities

Cleaning

  • Managing the duties of the weekly club cleaner, including arranging holiday cover
  • Recruiting a new cleaner if required, including someone additional for cleaning the changing rooms during the six weeks of children's summer activities
  • Arranging the annual kitchen deep clean required for insurance purposes
  • Maintaining the handbook for staff about kitchen cleaning
  • Oversee the purchase of cleaning materials for the kitchen and the cleaner, in liaison with the club member responsible for going to Bookers

    Food

  • Maintaining and checking the online records of in date kitchen stock
  • Ordering kitchen groceries that are additional to the food purchased by the chef, in liaison with the club member responsible for going to Bookers
  • Checking bar snack stock weekly
  • Completing and maintaining accurate records and all necessary paperwork required for HACCP/Health and Safety/Food Hygiene/training/certification and oversee any actions required to be prepared for spot checks and inspections in order to maintain the club's 5-star hygiene rating (awarded Dec 2023)
  • Liaising with the chef to ensure the monthly menu is circulated for inclusion in the weekly online club newsletter, Tammy Matters, and is posted clearly in the clubhouse
  • Responding to bookings for meals on Thursdays and Sundays and ensure the chef is aware of catering numbers

    Fire warden
  • When on site, fulfill the role of Fire Warden
  • Work with the club member responsible for facility management to ensure members are clear about evacuation procedures and muster points in the event of a fire alarm going off or an emergency occurring

Club events

  • Assist class captains with arranging catering and bar staffing for sailing open events
  • Assist club members and oversee the organisation of major club social events e.g. Summer Party, Christmas Party, Vice Commodore's Dinner, including staffing for these

Private events

  • Assist the club member responsible for external and private events, working with them to ensure staffing is organized for such events and that a club supervisor is on site for opening/closing/practical assistance
  • (Please note, staff are paid by the person hiring the club for a private event, and at a higher rate. On occasion, the House Manager might wish to attend such an event as the club supervisor, but the hours accrued will be in addition to this contract and will be paid for by the hirer.)

Accountability

  • The service provider will be accountable to the Rear Commodore House
  • Provide reports to the House Committee (meeting held every two months prior to the Management Committee) and attend if required
  • Maintain and run reports using PayPal POS, the club's payment/accounting mechanism
  • Ensure arrangements are in place to cover the House Manager's service during any periods of absence

Contract review

  • A contract review will be held after 3 months, 6 months and 12 months
  • The contract can be terminated by either party provided 4 weeks' written notice has been given

ROLE SPECIFICATION

We are looking for the services to be provided by a person who can demonstrate and offer a broad skill mix and provide evidence of the majority of what is listed below.

  • Able to demonstrate experience of:
  • People management, as the role requires co-ordination, liaison, excellent communication skills, being highly organized, self-motivated, accountable, able to work alone and as part of a diverse team, able to manage time flexibly, and dependable time keeping
  • Catering and bar work
  • Dealing with HACCP, Food and Hygiene regulations, Health and Safety
  • Managing staff
  • Working with young people
  • Creating and managing staff rosters
  • Working with a wide range of people
  • Evidence of ability to liaise in a co-operative way
  • IT skills including spreadsheets and online accounting systems
  • Being a member of a sailing or water sports club, or having a personal understanding of club culture
